Office relocation

After you accepted our quote, if the nature or size of the job requires it, we will visit your premises again, with our delegated team leader, to jointly develop the timetable for the move.

While designing the moving process, we can agree on the exact details and procedure of the move.

While preparing the time schedule, the positioning of the office equipment and furniture at the new premises should also be planned.
The details of the dismantling, assembly and transport of the computers and related equipment have to be agreed with the IT staff. At your request, we will give a presentation to the division heads on the process and expected time of the move.

We will explain and demonstrate the necessary information about packaging and labelling the boxes. We can also provide a packing guide.
The move will be carried out according to the agreed schedule. Our team leader will coordinate the moving process. The move will start with the preparations and packing.

We will protect the condition of the office buildings you are moving from and to. The lift will be lined and the corridor walls will be protected around the edges. The flooring will be protected with carpeting where necessary.

After that, we will start the transport. We will pay particular attention to keep the schedule.

After unloading, we will put all the furniture in its final place, assemble the disassembled pieces, unpack the wrapped furniture, and dispose of the packaging material we used. Together with your own staff member, we will check that the old premises have been emptied of your belongings.

Once the last round of unloading has been completed, we will start working on finalising the positioning of the equipment. Upon completion, we will hand over the work.
The completed work will be checked together with your company’s designated coordinator.
If required, we will send a small work team on the first working day after the move to make out any necessary rearrangements.
If requested, we can take down and reinstall the pictures, magnet boards and other office accessories.

Archives relocation

We often have to move complete office archives in sequential order, which we can handle with experience. 1. Request for quote

To be able to help you and your company with the move, to get information about the cost of the move, and to help you plan the time schedule, we need to arrange an initial survey. The best way to do this is to contact us in writing. Please answer the questions included in the request for quote, so we can prepare the survey. We will process your request for quote as soon as possible and call you to arrange a time for the initial survey.

  • If the request for quote is detailed and the task is simpler, we can provide you with a quote without a need for a survey, based on the information provided.
  • If the job is more complex or involves a large-scale move, a survey is the best way to make our quote.

2. Initial survey

During the survey, an experienced member of our staff will visit your office and you can go through the office premises and record all items to be shipped. During the survey, it can also be agreed what extra services you would like us to provide in addition to the moving.
We will try to cover all the details, such as whether you need boxes before the move, or packing and unpacking of the office kitchen, the archives, or dismantling and assembling of furniture, or protective wrapping, or the dismantling and reinstallation of the office accessories.

A staff member will be able to offer advice and suggestions during the survey on all issues related to the move.
After our survey, we will send you a written quote. Calculating the costs on-site or bargaining is not possible. However, we are open to proposals once our quote has been sent.

3. Accepting the quote and fine-tuning the details

If our quote seems to be acceptable, you can give us feedback with the possibility to discuss, modify and fine-tune the quote. On this basis of such feedback, we will send you the draft contract.

We will make a new appointment to visit you again with the delegated team leader, to plan, finalise and discuss the work schedule and the contract.

4. Planning - finalisation - signing the contract

A very important part of the moving process is planning the move and finalising the dates.

What needs to be considered?

  • The access route, the possible time range and the number of lifts provided to move from the office building.
    This must be agreed with the facility managers at both at the old and the new building
  • Parking space for the trucks
  • IT equipment priority list
  • The transport of rented copiers, water dispensers
  • The preservation of the condition of the lifts
  • Providing boxes in advance
  • Possibility for earlier transport of certain parts

Planning is essential for international jobs. You need to take into account how long it will take us to deliver the shipment. The Budapest-Paris distance (1,485 km) can be covered in one day by an experienced driver. But it may be 2 days for a professional driver, as he must follow the rules on driving and rest periods laid down by law.

5. Packing

Who will need to do the packing and how?

The standard practice is that we deliver the boxes needed for the packing before the move, and the personal belongings at the workstations are packed by the employees themselves. We will also provide adhesive tapes, a packing guide and labels. If you need help in packing storage rooms, marketing warehouses, office kitchens, filing rooms, or computers, please let us know!

6. Preparations

For the move (loading) to go smoothly and quickly, a few conditions must be met. A parking space must be reserved as close to the entrance of the office building as possible.

Cleaning up the loading route (putting away flowers, carpets, other stuff).

Ensure non-slippery access routes.

It is necessary to label everything you want to ship!

7. Loading

During the move, we will disassemble and pack your furniture as required, and we will also provide protective packaging for your accessories (pictures, lamps, shelves, mirrors, etc.) during the loading process.

 If any items remained unpacked, we can use the spare boxes on the truck.

8. Transport

The goods are placed and transported on the truck with blankets and cardboard boxes, separated from each other. We transport up to 3.5 tons gross weight in closed box trucks, and over 3.5 tons in semi-closed trucks with tarpaulin. In all cases, we provide one person per vehicle for escorting the goods for security purposes.

9. At the destination

In addition to the above (parking space, loading route, non-slippery access), it is worth making a furnishing layout plan in advance. During unloading, we will unpack and assemble the items we have disassembled and packed.

All furniture will be set in its final position according to your request, on your instructions or on the basis of a furnishing plan. The shelves and tables will be levelled and fixed to walls if necessary, and the used packing material will be removed at the end of the move. If there are any extra requests, such as mounting the magnet boards, please let us know in advance!
